This Privacy Policy explains how we collect, use, disclose, and protect personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Nova Scotia privacy law.
By using our Services, you acknowledge the practices described in this policy.
1. Who We Are

2. Information We Collect
We collect information about three distinct groups of people, as well as publicly available business data.
2.1 Business Owners
Business owners are individuals who register for and use our platform at business.axondigi.com. We collect:
- Account information: Name, email address, business name, and login credentials.
- Profile content: Information you provide about your business — hours, services, photos, FAQs, and other details.
- Usage data: Log files, IP addresses, browser type, pages visited, and actions taken within the dashboard.
- Communications: Support requests, feedback, and correspondence sent to us.
- Billing information: When paid plans are introduced, payment data will be processed by a third-party payment processor (e.g., Stripe). We will not store full card numbers.
2.2 End Consumers
End consumers are visitors who interact with the ANAI widget embedded on a business’s website or on axondigi.com. We collect:
- Conversation data: Messages you send to ANAI and the responses generated.
- Technical data: IP address, browser type, and the URL of the page where the widget is embedded.
- Session identifiers: Temporary identifiers used to maintain conversation context within a session.
No account is required to use ANAI. We do not attempt to identify or track individual end consumers across sessions.
2.3 Business Profile Data (Publicly Available Information)
Axondigi aggregates publicly available information about Canadian businesses from federal and provincial government registries and other public sources. This data includes:
- Legal business names, registration numbers, and corporate status
- Registered addresses and operating locations
- Industry classifications
This data pertains to businesses as legal entities. Where it incidentally includes personal information (for example, a sole proprietor’s name in a registry), we rely on the publicly available information exemption under PIPEDA section 7(1)(d) and process it solely for the purpose of maintaining an accurate public business directory.
2.4 Marketing Contacts
If you are a business representative and we have contacted you about our Services via email outreach, we hold your business contact information — name, email address, and business name — for the purpose of that communication. We comply with Canada’s Anti-Spam Legislation (CASL) for all commercial electronic messages and will honor unsubscribe requests promptly.
3. How We Use Information
| Purpose | Basis |
|---|---|

We do not sell personal information to third parties.
4. AI Processing — ANAI
ANAI is powered by third-party large language models. When you interact with ANAI:
- Your messages and relevant business profile context are transmitted to our AI infrastructure.
- We use OpenRouter, a US-based AI routing service, which forwards requests to model providers: currently OpenAI (GPT-4o, GPT-4o mini) and Google (Gemini 2.5 Pro, Gemini 2.5 Flash).
- These providers act as data processors under contractual data processing agreements.
- AI model providers may retain input data for safety and abuse monitoring per their own policies. We encourage you to review OpenAI’s Privacy Policy and Google’s Privacy Policy.
- Cross-border transfer: AI processing occurs in the United States. Data sent to ANAI is transferred outside Canada. By using ANAI, you consent to this transfer.
- Business owner access: Business owners can review ANAI conversation logs with their customers through the owner dashboard.
ANAI responses are AI-generated and may be inaccurate or incomplete. Do not rely on ANAI for legal, medical, financial, or other professional advice.
5. Cookies and Tracking
We use cookies and similar technologies for:
- Essential cookies: Session management and security. These are necessary for the Services to function and do not require consent.
- Analytics cookies: Understanding how our Services are used. We obtain consent for these where required by applicable law.
You can manage cookie preferences in your browser settings. Disabling essential cookies may impair the functionality of our Services.
The ANAI widget, when embedded on a third-party website, operates within that site’s domain. Businesses that embed our widget are responsible for providing appropriate cookie consent notices to their visitors.
6. Data Sharing and Disclosure
We share personal information only as follows:
- Service providers (processors): Hosting providers, email delivery services, analytics tools, and AI providers listed in Section 4, acting under contractual data processing agreements.
- Business owners: ANAI conversation logs from end consumers may be accessed by the business owner whose profile the conversation relates to.
- Legal requirements: We may disclose information if required by law, regulation, or valid legal process (e.g., a court order), or to protect our legal rights or the safety of users and the public.
- Business transfer: If Axondigi is acquired, merged, or undergoes a restructuring, your information may be transferred as part of that transaction. We will provide notice prior to any such transfer.
We do not share personal information with advertising networks.
7. Data Retention
| Data | Retention Period |
|---|---|
| Business owner account data | Duration of account + 2 years after closure |
| ANAI conversation logs | 12 months from conversation date |
| End consumer technical data (IP, session logs) | 90 days |
| Business profile data (public registry) | Indefinitely, as it reflects public records |
| Marketing contact data | Until unsubscribe + 3 years (CASL record-keeping) |
When retention periods expire, we delete or anonymize data in the normal course of operations.
8. Your Rights Under PIPEDA
As a Canadian resident whose personal information we hold, you have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request that we correct inaccurate or incomplete information.
- Withdrawal of consent: Withdraw consent to processing where consent is the legal basis; this may limit your ability to use certain features of the Services.
- Complaint: File a complaint with the Office of the Privacy Commissioner of Canada (OPC) at priv.gc.ca if you believe your rights have not been respected.
To exercise these rights, email us at [email protected]. We will respond within 30 days.
9. Security
We implement reasonable technical and organizational measures — including encryption in transit, access controls, and secure infrastructure — to protect personal information from unauthorized access, disclosure, alteration, or destruction. However, no system is completely secure.
In the event of a material data breach affecting your personal information, we will notify you and the Office of the Privacy Commissioner as required under PIPEDA’s mandatory breach reporting rules.
10. Children’s Privacy
Our Services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If you believe we have inadvertently done so, contact us at [email protected] and we will delete the information promptly.
11. Links to Third-Party Sites
Our Services may contain links to third-party websites. This Privacy Policy does not govern those sites. We are not responsible for the privacy practices of third parties and encourage you to review their policies before providing any personal information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the revised policy with an updated “Last Updated” date. For material changes, we will provide additional notice to registered business owners by email at least 14 days before changes take effect. Continued use of the Services after the effective date of a change constitutes acceptance of the updated policy.
